In order to strategically improve its office administration, ICSSPE has included several measures to take in the strategic plan. As a starting point, ICSSPE will analyse current office administration manuals. This annual audit at the end of each year will reevaluate the complete-ness and adequateness of all manuals and procedures to ensure a continuous improvement. Gaps identified in the manuals and missing procedures will be summarized in a written report about the internal audit.
This report will be submitted to ICSSPE’s Executive Board by the Executive Director. Subsequently gaps and issues identified will be addressed by the ICSSPE office staff. ICSSPE will develop missing internal office administration manuals and procedures as well as update existing internal office administration documents.
A detailed set of all internal office documents will be readily available and accessible in the office by paid staff, the Executive Board and the members. All changes will be made in accordance with German labour laws. Manuals will address issues including but not limited to:
- Office operation manuals;
- Hiring and leave procedures and policy;
- Internal conflict handling policy and procedures;
- Policy and procedures for terminating services of paid staff;
- Policy on handling confidential documents;
- Policy on harassment and victimization.
